Roles and access
Access depends on the workspace and project you are using, your roles, and the workspace’s licensing state. A feature may require both permission and the appropriate product capability.
Workspace roles
| Role | Responsibility |
|---|---|
| Owner | Workspace administration and billing |
| Admin | Workspace settings, project creation, member management, and Premium allocations |
| Member | Licensed participation, with project actions determined by project access |
| Guest | Participation through the projects and schedules made available to them |
The Workspace Owner manages billing. Owners and Admins can manage the workspace team. Team management is unavailable in personal workspaces.
Project roles
The following capabilities describe the required project access on an active team workspace. Premium and licensing requirements still apply.
| Action | Viewer | Editor | Admin |
|---|---|---|---|
| View accessible schedules | Yes | Yes | Yes |
| Import and edit schedules | No | Yes | Yes |
| Comment on schedules | No | Yes | Yes |
| Contribute progress on a Premium project | No | Yes | Yes |
| Initiate, apply, and publish progress update cycles | No | No | Yes |
| Manage the project and its team | No | No | Yes |
Project Editors can invite users up to their own role; they cannot grant Project Admin access. A person’s project role can differ between projects.
Licensing is a separate check
Project Admins require licensed workspace membership. Editors on standard projects also require it, while Editors on Premium projects do not need a member license solely for that role. See Premium projects and licenses.
In a personal workspace, importing and viewing are available with free access; schedule creation and editing require paid access. Team-only features, including comments and progress update cycles, remain unavailable there.
Invitations and shared schedules
Accept invitations using the account associated with the invited email address. If the project is still missing, have its administrator check your assignment.
Access to a shared schedule does not by itself grant editing access or membership of the entire project. Ask the project administrator for the role needed for your work.
Resolve a missing action
- Confirm the signed-in account and selected workspace.
- Confirm access to the intended project.
- Check the project role required for the action.
- Check whether the feature requires a team workspace, Premium status, or a member license.
- If the workspace is inactive or payment is required, ask its Owner to review billing.
For update entry specifically, also check the cycle’s stage and lock state. See Progress updates.
